1. WHAT INFORMATION DO WE COLLECT?

In Short: We collect personal information that you provide to us and that we collect with our robots on behalf of customers.

We collect website usage information from you when you visit one of our websites. This includes. Depending on whether or not you are signed in, this information may or may not be anonymized. 

  • The pages you visit
  • The actions you do on the pages
  • Approximate geolocation
  • Browser and device information

We collect personal information that you voluntarily provide to us when you contact us or register for our services. This includes:

  • Name
  • Email address

We may collect your personal information when you are seen by our robots. Our robots may collect pictures, videos and audio. Our robots only collect personal information under the following conditions:

  • You and the robot robot are both present on the private properties of our client or prospect client.
  • You have been informed about the activities of the robot, either through signage, written or verbal notice.
  • The information that is collected is processed according to the agreement with our client. 

In terms of GDPR, when we collect your personal information on behalf of our customers, we act as a data-processor. Our customer takes legal ownership of the data we collect and control the processing.

You might see one of our robots in public spaces. This could be because we are testing or giving demonstrations of our services. During these times we will do our best not to collect your personal information. If we accidentally capture pictures, video or audio of you, we will anonymize or delete this data as soon as we become aware.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.

  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.

In the following situations we may share your personal information with the following third parties:

  • When submitting a contact form, your submitted details are shared with and stored in HubSpot and Google Workspaces. We use these tools to keep in contact with you.
  • When contacting us through the live chat bubble or whatsapp, your contact details are shared with ChatWerk (Inbox Solutions GmbH).
  • When visiting the website, and giving consent in the cookie banner, we share your behaviour on the website, device and browser information, approximate geolocation and session statistics with Google Analytics.

We may need to share your personal information in the following situations:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

When you become a customer, we will provide you with additional documentation detailing more specific ways we handle and process your data, extending the information in this document.

5. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us to keep your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
